Now that you have reduced distractions by following step 1 you need to develop a system to capture all tasks and information.
Your tasks can come from emails, meetings, discussions, phone calls, and messages. When a task is created you need to determine the due date. If it is not related to your current goals or projects and is not due in the near future then it needs to go into a list for possible future tasks. For these items, I keep a running list in OneNote that I review weekly.
If it is needed in the near future, put it in your current task capture system. I use a spreadsheet with dates but you can use a Kanban board or any other tool which works for you.
You also also need an information storage. I use OneNote but other tools would work too.
Now whenever you have a task or information to save it can go into its designated place in your system. Please note that sometimes you will need to determine what something is (such as with a vague email); that is the task. Brainstorming is also another task.
